Stock Level Trace

ROBOTILL meticulously tracks your inventory, including standard stock items, intricate compound items, and ingredients. If the stock level for a particular product isn't as anticipated, you can execute a stock level trace to understand how it reached its current count.

To run a stock level trace, go to ROBOTILL Back Office > Products and Stock > Stock Level Management > Stock Level Trace. Enter the barcode number or stock code for the specific product you want to run the trace on and press ENTER. One of three different types of trace results will be displayed.

1) Compound product trace results

If the product you entered is a compound item, your results will not include any events (like sales or discarded stock) as a compound item's stock level is determined by its sub items.

A list of sub-items for the selected compound item will be displayed (#1). Each sub-item will show the required stock amount and the currently available quantity. The 'Can Make' column will indicate how many of the selected compound items can be produced using the specific sub-item. The total stock on hand will be determined by the smallest value in the 'Can Make' column, as no additional complete compound products can be manufactured beyond this limit.

To understand how the compound stock level got to this point, you can have a look at how each of the sub items got to the specific stock quantities. Select the sub item in the list (#1) and then click on 'Trace Sub Item Stock Count' (#2).

2) Summary trace results

Stock Trace Summary

The summary trace results will give you a summary of how the product got to the specific stock level (#1). It will show a starting date for the trace. A start date is determined by using the last time the stock level was specified as a set amount instead of being increased or decreased. Stock levels can be set by either a stock take or a bulk import that can specify stock levels. The latest stock set event will be used as a starting point. All previous data will be irrelevant as a stock set event (like a stock take) sets a new stock level. If there is no stock level set event, then all the trace data will be used from the beginning. Note that trace data will only start to be recorded from the time that version 9.19 or later was installed.

The starting point will be followed by a list of events (grouped by event type) that would have increased or decreased the stock level (#2). To see the details of these events, you can select to see the detailed trace (#2).

3) Detailed trace results

The detailed trace results will provide a list of every event that altered the stock level for the specific product (#1). This includes not only sales and other events directly related to the selected product, but also any events that affected the stock level, such as the sale of a different product in which the selected product is a sub-item.

It will use a starting point in the same way as described above for the summary trace. If there is too much data to go through, you can choose to view the summary trace (#2).
